Company Module Forecasting Data Entry
To enter forecasting data via the Company Module, follow the steps outlined below.
Keep in mind that if you filter and/or sort your company list prior to beginning the entry of forecasting data, you can limit the companies for which data is to be entered. This can be done to show only a certain company type, certain salesman, certain territory, certain product line, or any combination of filters as desired.
Many customers find this to be an excellent way to enter forecasting data due to this pre-filtering option.
Entering data:
Open the Company Module by clicking on the Company Module button in the Module Toolbar.
Perform any desired filtering or sorting to ensure only desired companies are available.
For an explanation of Filtering and Sorting, see Basic Operations in the General Information section of this manual.
Remember that multiple filters may be combined to refine the company list to the desired subset.
Click on the Sales Tab
You will be prompted to enter the password to enter the sales screen. (See InDepthRep Setup and Operations for information on Password.)
Click on the "Switch to 3 Year View" button.
Forecasting data can only be entered in the three year view of the sales table.
When displaying the three year view, the years displayed will be as follows, based upon the currently selected month and year:
Previous Year
Current Year
Upcoming Year
Once the three year view is displayed, users can input data for the desired product line in the proper month for the year to be forecast.
Data may be entered for each product line for the selected company by changing from one product line to the next.
Product Lines may be changed by utilizing either of the following methods:
Select the desired product line from the drop down list located at the top of the three year view screen.
Click on the "Previous Rec" or "Next Rec" buttons to move from one product line to the next alphabetically by product line abbreviation.
If data is entered in December for the desired year, and then the user presses enter, the program will automatically move the cursor to the "Next Rec" button. Pressing enter again will then advance to the next available product line, and place the cursor in the first month of the upcoming year budget field.
As data is entered for each individual month for a particular product line, a running total will be displayed at the bottom of the sales table.
Once all data has been entered for the currently displayed company, the user can move to the next company of their current filter/sort by utilizing the Record Advance Arrow button at the bottom of the page.
Once information has been entered for all companies, the data must be posted to ensure that it is added to the sales tables for viewing by those designated by distribution of the sales password.
User's must use the "post Invoices" report within the Invoices Module to post the budget figures.
Open the Invoices Module by clicking on the "Invoices" button on the Module Toolbar.
You will be prompted for the Commission password to enter the Invoices Module.
- Click on the "Reports" button to open a list of available reports.
Select the "Post Invoices to Company" report from the drop down list.
Select the desired year and month from the displayed window.
Click on "OK" to start the posting process.
Only the selected month for the selected year will be posted.
Repeat selecting all the months for which you wish to post information.
Each month/year combination must be individually selected and posted.
Once all months are posted, you may exit the Invoices Module by clicking on the "Close Form" button.
Once all data has been posted, it is viewable in the sales tables for each individual company, for the selected month and year.
Information is also viewable for all sales tables once posted.
