NOTE ***
Before entering any Invoices, you MUST first set-up the Reference
Files, Product Lines and the Companies to enter invoices for
in the Company Module. This is necessary in order to enter an
invoice for proper tracking in the Sales Analysis portion of
the program.
Entering a New
Invoice
Open the Invoice
Module from the Header Bar.
The Invoice
Module is password protected with the Commission Password.
Click on the “Add
Record” button.
Select the billing
company from the type searchable list.
This is the
company that has purchased the product.
This will import
the Territory and Salesman Information for the specified company.
Press enter to
continue.
Select the
Manufacturer from the type searchable list.
The list is
composed off the abbreviations entered during Product Line Setup.
This will
automatically enter the default Commission percentage if it has
been entered during Product Line Setup.
Press enter to
continue.
Enter the Invoice
Date
This is generally
the date printed on the invoice from the manufacturer.
This should be
entered in the form of MM/DD/YY. (Ex: 01/28/04 is January 28, 2004)
Press enter to
continue.
Verify the proper
Sales month is auto-filled based upon the Invoice Date and the End
of Month set in the Product Line Module
Enter the Invoice
Number
This is generally
the number printed on the invoice from the manufacturer.
If batch entering
invoices, we recommend a code be used to specify the month and
product line.
Press enter to
continue.
Enter the PO
Number.
This is generally
the number printed on the invoice from the manufacturer.
If batch entering
invoices this may be left blank.
Press enter to
continue.
Enter the amount
of the Invoice.
This is generally
the Gross amount printed on the invoice from the manufacturer.
Press enter to
continue.
Enter any amount
for freight that has been deducted from the invoice gross amount.
This is generally
the Freight amount printed on the invoice from the manufacturer.
This amount will
be automatically deducted from the total invoice amount and
displayed in the “Net” field.
Press enter to
continue.
Verify that the
Net field matches the Invoice Net amount.
Press enter to
continue.
Enter any amount
for Overage.
Overage can be
used to enter straight commission additions such as engineering
fees, start-up fees, or any other addition not covered under the
normal commission amount.
Press enter to
continue.
Verify the
Commission field.

If no percentage
was entered during Product Line Setup,
than this field will be zero. This allows for manual entry of the
commission amount.

Press enter to
continue.

This will bring
up the type searchable list to add the next invoice.

If done entering
invoices, close the find window by pressing “Escape”
and then close the module using the “Close Form”
button.
