Salesman Module Forecasting Data Entry

To enter forecasting data via the Company Module, follow the steps outlined below.

Entering data from the Salesman Module will automatically filter, by the selected salesman, the companies for which data may be entered. This is a good way to view all possible companies for a salesman, and ensure that all forecasting is entered for all of these available companies.

  1. Open the Salesman Module by clicking on the "Salesman" button on the left hand side list located on the Switchboard.

  2. Select the desired saleman from the drop down list, to filter the available companies.

    1. Data can only be viewed for individual product lines for review if the “All Salesman” filter is used. It may not be viewed or entered on an individual company basis.

  3. Select the "Company Sales" tab to view the sales tables for the selected salesman.

  4. Click on the "Switch to 3 Year View" button to enter the forecasting screen.

    1. Forecasting data can only be entered in the three year view of the sales table.

    2. When displaying the three year view, the years displayed will be the previous year, the current year, and the upcoming year, to the currently selected month/year combination.

  5. Once the three year view is displayed, users can input data for the desired product line in the proper month for the year to be forecast.

    1. Data may be entered for each company and product line by changing from one entry to the next.

      1. Company and product lines may be changed by utilizing either of the three following methods

        1. Select the desired company and product line from the drop down list located at the top of the three year view screen.

        2. Click on the "Previous Rec" or "Next Rec" buttons to move from one product line to the next alphabetically by product line abbreviation.

          1. When reaching the end of available product lines for one company, the program will automatically switch to the next available company and begin at the first product line for this company.

        3. If data is entered on December for the desired year, and then the user presses enter, the program will automatically move the cursor to the "Next Rec" button. Pressing enter again will then advance to the next available product line, and place the cursor in the first month of the upcoming year budget field.

  6. Once information has been entered for all companies, the data must be posted to ensure that it is added to the sales tables for viewing by those designated by distribution of the sales password.

    1. Users must use the "Post Invoices" report within the invoices module to post the budget figures.

      1. Open the Invoices Module by clicking on the Invoices Module button in the Module toolbar.

        1. You will be prompted for the Commission password to enter the invoices module.

      2. Click on the "Reports" button to open the list of available reports.

      3. Select the "Post Invoices to Company" from the drop down list by clicking on it.

      4. Select the desired year and month from the displayed window.

      5. Click on "OK" to start the posting process.

        1. Only the selected month will be posted.

      6. Repeat selecting all the months for which you wish to post information.

        1. Each month/year combination must be individually selected and posted.

      7. Once all months are posted, you may exit the Invoices Module by clicking on the "Close Form" button.

  7. Once all data has been posted, it is viewable in the sales tables for each individual company, for the selected month and year.

  8. Information is also viewable for in all sales tables once posted.
