  1. Filtering Fields.

    1. Filtering can be accomplished two different ways. It can be done using the Filter buttons from the tool bar, or can be accessed through the menu that appears when you use the right mouse button.

      1. Filtering allows you to only view records that contain the specified information. This is especially useful for populating lists for mass mailings or e-mails, but can be used in a variety of ways.

      2. To filter follow these steps.

        1. Highlight the text that corresponds to the information to be filtered.

        2. Choose to either Filter by the Selection (meaning you want the records TO contain this information), or Filter Excluding the selection (meaning you want the records to NOT contain this information).

        3. Continue to highlight and filter until you reach the level of records that is desired.


    1. Sorting Fields

      1. Sorting can be accomplished two different ways. It can be done using the Sort buttons from the tool bar, or can be accessed through the menu that appears when you use the right mouse button.

        1. To Sort, follow these steps:

          1. Highlight the field to be sorted on.

          2. Choose either Ascending (A-Z), or Descending (Z-A) order.


    1. Using the Datasheet View

*****NOTE***** Changes made to the datasheet view CANNOT be undone. Caution should be used when manipulating data under the datasheet view. Due to the nature of the datasheet view, we recommend that it be used only when large numbers of records need to be modified. For normal modification, we recommend using the standard form view.


      1. The datasheet view is a useful tool for looking at all of the records in the particular module. For example, if you want to look at all of the records in the Price List Module, opening the datasheet view is a good way to accomplish this.

      2. The datasheet view is all of the form fields, formatted in a spreadsheet type view.

      3. The datasheet view is especially useful for making changes to multiple records.

      4. To access the datasheet view, use the "View Datasheet" button, located on the toolbar at the top of the page.

        1. Once the datasheet view has been accessed, the sort and filter functions can be used to manipulate the data as desired.
