What is Offsheet Filing?
Offsheet filing is the ability to enter into the Paperless Office portion of the InDepthRep program a specific set of pricing and link this pricing to the product line and companies who are authorized to receive this pricing.
The document is stored, as a PDF Document, within the InDepthRep program, and based upon linking, will be visible under the "Offsheet" tab in the Product Lines, and Company Modules.
This document is a read only, informational only display, and does not allow the user to directly add the offsheet pricing to any quotes to the customer.
The system is designed so that any user can easily find the specific pricing a customer receives by simply opening the company record for the desired customer and clicking on the Offsheet tab. Once opened, the tab will display all of the offsheet pricing for ONLY the selected customer.
This allows for quick and easy training of new employees by not requiring them to memorize which customers receive which price sheets, and also helps to prevent possible pricing errors by allowing users to quickly view only the relevant price sheets.
Because the Offsheet can be linked to multiple companies, territory, as well as individual price sheets can be easily linked to all relevant companies and branches, as once linked, the program allows for easy updating of stored offsheet files to prevent needing to re-link to desired companies if revised pricing is issued.
Offsheet pricing is entered using the same Paperless Add Document form as the other Paperless Office portions, however instead of choosing "Paperless" or "Job File", the user simply chooses "Offsheet" to begin the process.
There are two different possible starting locations for a user to add Offsheet documents; the Product Lines Module and the Company Module. Both off the ability to add new documents, and the only difference is, depending on the starting location, different fields are pre-filled with information so the user does not need to.
If entered from the Product Line Module, all Offsheet price documents will have the product line field already populated.
If entered from the Company Module, all Offsheet price documents will have the Company Link filled in already.
