What is Paperless Office?
The InDepthRep Program allows a representative agency to upload and store, in PDF format, electronic documents. These documents can then be linked to various entities throughout the program, allowing a single document to be easily searched for and viewed from multiple starting sources.
The objectives of the Paperless Office portion of the program are as follows:
To provide a centralized and easy to use upload tool to allow the customer to upload electronic documents from the user’s computer to the InDepthRep Server.
To provide an easy to use a simple tagging and cataloging system to allow user’s to mark each document with information which pertains to the contents of each individual document.
To provide multiple, easy to use, search tools to locate any document based upon tags applied during the upload process or at a later date.
To allow the user to effectively edit and add tags as necessary after the initial upload of the document.
To allow for the addition of notes and "chain of operation" entries to allow multiple people to view the current actions taken, or notes pertaining to, the entered documents.
To allow the user to "virtually staple" multiple related documents together, so when any user views any of the linked documents, they will also have displayed a list of all other linked documents, allowing them to easily open and view those documents.
To provide a way to create "Job Files" for desired quoted jobs and link the documents in these Job Files to the stored quotation.
To provide a centralized searchable database that contains all documents stored within the program.
To allow user’s of the InDepthRep Program to access stored documents at any time from any location where they would have access to the InDepthRep Program.
To allow the password protection of individual "sensitive" documents as necessary on a per document basis.
To allow for the storage of "Offsheet" pricing data for individual product lines, and individual customers.
To accomplish these objectives, the Paperless Office portion of the InDepthRep program is divided into three distinctly separate areas.

Job Files
Each of these objectives will be covered separately, and while each functions differently, there are many similarities between them all.
