Basic Operations


The Quote Follow Up Module allows the user to record, and compile data on all product lines for all quotes sent from the InDepthRep Program.

Because it is possible to “win” only portions of the quoted jobs, the InDepthRep program allows the user to individually track each product line on a quote and enter data according to win or loss, when product was ordered, who ordered it, and in case of loss, potential reasons for loss, and the competitive manufacturer who did receive the order.

Each quote generated from within the InDepthRep Program, regardless of quote type, will automatically add an entry into the Quote Follow up Module for each product line in the quote.

All fields in the Quote Follow Up Module are dynamically linked to the same fields in the Quote Module. Changing information in either place will result in the same changes being applied immediately in the other.

This allows for quote follow up data to be entered in either module with real time updates in both. Also note that any data entered for fields which are common to the entire quote (ie. Architect, Engineer, Salesman, Territory, etc), will automatically fill in to all other entries for the same quote.

By default the Quote Follow Up Module only displays the quotes in the “Current” quote file. Any quotes moved to the “old Quotes” file are not displayed in the standard default view. However, viewing these entries is possible utilizing the “Archive” button in the top left corner of the screen.
Any quote moved to the “Old Quote” archive within the Quote Module will immediately also move all entries in the Quote Follow Up Module to the “Archive” file as well.

Moving an entry to the Archive file within the Quote Follow Up Module DOES NOT move the quote to “Old Quotes” archive in the Quotes Module however. This is to allow for archiving of individual portions of large multi-stage projects from the Quote Follow Up Module without affecting the ability to access the quote in the Quotes Module.

A user may view the actual quote for any entry in the Quote Follow Up Module simply by clicking on the view link to the right of any individual entry.

The following information is available for each entry (if filled in) within the Quote Follow Up Report.

  1. Quote Number

    1. This is the number automatically generated by the InDepthRep program for each new quote.

      1. Numbers starting with P are Phone Quotes

      2. Numbers starting with S are Scan Quotes

  2. Job Name

    1. This is the name entered for the Job by the person who entered the initial quote.

  3. Film Number

    1. The reference umber to indicate where the information was entered from.

    2. ONLY AVAILABLE ON SCAN QUOTES.

  4. Job Location

    1. The City, State location of the quoted job.

  5. Quoted By

    1. The person who initially entered the quote.

  6. Entry Date

    1. The date the quote was initially entered.

  7. Priority

    1. A number from 1 to 5 used to indicate the priority level of the quoted job.

    2. The individual agency may determine the top level of the scale

  8. Territory

    1. The Territory entered where the job is located.

  9. Salesman

    1. The Salesman assigned to the quoted job.

    2. Only one salesman may be assigned to a quoted job.

  10. Contractor

    1. The Contractor assigned as the winning bidder on the job

    2. Typically this would be the General Contractor

  11. Architect

    1. The Architectural firm who is responsible for the job.

  12. Engineer

    1. The Engineering firm responsible for the job.

  13. Product Line Abbreviation

    1. The abbreviation for the individual product line on the quote.

    2. Each product line on a quote will have a separate entry on the Quote Follow Up Report.

  14. Count of Items

    1. A count of unique line items on a quote.

    2. Not the total number of all line items. (See Sum of Quantity)

  15. Sum of Quantity

    1. The total number of items on the quote.

    2. Adds up the quantity of all line items.

      1. (LineItem1 x Quantity) + (LineItem2 x Quantity) + (LineItem3 x Quantity) ... etc

  16. Cost

    1. The total dollars for all items (Sum of Quantity x Quote Cost field) for the product line.

    2. Best used when estimated quantities are entered in the actual quote.

  17. Status

    1. Allows a user to specify the current status of this product line entry for the specified job

    2. By default the following options are available.

      1. Won

      2. Lost

      3. To Be Determined

      4. Rebid

    3. The following are also entered with the idea that the user will change them to appropriate reasons.

      1. L-Reason1

      2. L-Reason2

    4. By default, all newly added entries will be marked with "To Be Determined".

  18. Lost to Manufacturer

    1. A list of Competitive Manufacturers entered into the program.

    2. Allows the user to specify, on jobs which were lost, the specific manufacturer this portion of the job was lost to.

    3. If a manufacturer is not in the list, entering it will prompt the user with a dialog window on whether to add the new manufacturer to the list or not.

  19. PO Number

    1. Allows the user to enter all Purchase Order numbers used to order productsfor the indicated product line on the specified job.

  20. PO Amount

    1. Allows the user to type in the actual Purchase Order amount, in case multiple jobs are ordered on the same Purchase Order.

  21. Purchase Date

    1. Allows the user to enter the date a purchase order was sent for items in the indicated product line.

  22. Purchase By

    1. Allows the user to specify the purchasing Wholesaler of the particular product line.

    2. Can be used even if the product line was "lost" to specify which company did buy the particular portion of the job.

    3. When combined with the "Lost to Manufacturer" field, can be used to show a company that purchased items from a competitive source.

  23. Archive

    1. Allows the user to individually archive entries from the active Quote Follow Up list once all pertinant data has been entered.

    2. Allows the user to view only items which are still "waiting" for data to be entered.
