Filtering the Quote Follow Up Report is the quickest
and easiest way to view a compact and concise view of a desired subset of information. Because the
report can be filtered and sorted any way the user desires, a user can easily look at a small
snapshot of the quotes based upon their particular needs. For example, a user could desire to only
see entries for a particular salesman, or territory, or product line.
However, the real power of the report is found through the combining of filters to show a
desired report. For example, a salesman could desire to see only those entries which list him/her
as the salesman, in a particular territory which he/she will be visiting in the near future, that
are above a minimum dollar amount, and older than 60 days. This would give the salesman a small
set of entries to be doing follow up on, in a directed and concise manner, rather than wasting time
asking about jobs which were quoted to recently to have even finished the bid process, or are outside
of the currently visited area.
Another possible scenario is for the management of the company to take the gathered feedback
on jobs, and present this to manufacturer management to indicate a “won/loss” ratio and also, with the
built in ability to track reasons for win/loss, to perform analysis of true reasons why particular
jobs were lost and communicate to the manufacturer as to any possible changes which could be
recommended to increase sales possibilities.
Filtering and sorting of the Quote Follow Up Report is accomplished in the main screen, and all
printed copies of the report will display the same filter/sort set as on the main screen.
Filtering:
Filtering can be accomplished either utilizing the “Quick Filter” drop down windows
at the top of the screen, or by the more traditional way of filtering within the table
itself.
To filter with the "Quick Filters" at the top of the screen:
First select which of the filters you wish to apply and click on the drop down arrow.
Then select from the available list of filters, the desired filter to use.
Only those entries in the list are available to filter with.
Only one entry can be selected from a single list at a time.
- Multiple filters can be combined in succession.
Example:
Filter on Territory yields entries for multiple quotes within a territory.
Then filter on a single Salesman within the filtered results to see only those results for the specified Salesman in the specified Territory.
The possible "Quick Filters" are:
Salesman
A list of all Salesman entered into the program (see Setup Reference Files).
Territory
A list of all Territories entered into the program (See Setup Reference Files).
Product Lines
A list of all Product Lines entered into the program (See Product Lines Setup).
Status
A list of Job Status (see Reference File Setup) entered into the program.
This section is fully customizable and we recommend that the user do so to allow for the most accurate reporting.
Many customers have added the following to the list to allow for more direct accounting for jobs which were "lost":
L-Pricing
Lost to another manufacturer due to pricing issues.
L-Shipping
Lost to another manufacturer due to shipping times.
L-ConPref
Lost to another manufacturer due to Contractor Preference.
L-WhoPref
Lost to another manufacturer due to Wholesaler Preference.
L-Approval
Lost to another manufacturer due to lack of Engineer or Architect approval.
L-NoReason
Lost to another manufacturer with no reason given.
Entry Date
A list of date ranges which allows for easier navigation to pre-defined time frames in which jobs were quoted.
Possible selections include:
Less than 30 days
30 to 60 days
60 to 90 days
90 to 120 days
Over 120 days
If multiple time frames are desired, then the filtering must be done within the Quote Follow Up table itself.
For a review of how to filter within the Quote Follow Up table, please refer to Filtering in the General Operations section of this manual.
Sorting:
All sorting of the Quote Follow Up table must be done within the table itself, there are not "Quick Sort" buttons available.
For a review of how to sort within a table, please refer to Sorting in the General Operations section of this manual.
